Who built LodgeHQ?

LodgeHQ was built by Awais Nisar, a Registered Migration Agent (MARN 2318017). He created it to solve the problems he was hitting in his own practice — and he still uses it every day to run real casework. Every feature exists because a practising migration agent needed it.

Is LodgeHQ built for migration agents?

Yes. LodgeHQ is purpose-built for MARA-registered agents. It includes conflict-of-interest detection, consumer guide tracking, file note generation, CPD logging, and reporting tools — designed to help you stay organised and manage your practice efficiently.

How does the 14-day free trial work?

Can I migrate from Migration Manager?

Yes — and you can do it yourself. LodgeHQ has a self-serve Migration Manager importer: export a few reports from Migration Manager, upload them, preview exactly what will be created — clients, matters, family members, visa and travel histories, file notes — then import. Your data never leaves your account, and every import can be undone. Prefer we did it? Send us your export (from Migration Manager, Clio, spreadsheets, whatever you run today) and we map and import it for you, free, typically within a few business days. Client documents are migrated with you, free, after the structured import.

Where is my data hosted and stored?

LodgeHQ stores your practice’s records, your clients’ records and your uploaded documents in Australia — on Amazon Web Services infrastructure in the Sydney region (ap-southeast-2) — and AI processing runs on Amazon Bedrock in Australia (Sydney and Melbourne, ap-southeast-4). The database is encrypted at rest under a customer-managed key, sits in a private subnet and has no public endpoint. Uploaded documents are held in a private encrypted Amazon S3 bucket in Sydney and served through links that expire after one hour. AI features run on Amazon Bedrock in Australia — the inference profiles in use resolve only to the Sydney (ap-southeast-2) and Melbourne (ap-southeast-4) regions. The model vendor is Anthropic (Claude). Under Bedrock, AWS operates the model deployment accounts: Anthropic does not receive your prompts, your documents or the model output, and the data is not used to train models. That is the position AWS publishes for Bedrock, and it is the basis on which we use it.

Does any of my data leave Australia?

Some data does leave Australia. It leaves through parts of the platform that are always on — outbound email and its attachments, card payments, SMS and WhatsApp, browser push notifications, and document translation — and it leaves through optional integrations your practice chooses to connect, such as a mailbox, a calendar, an accounting connection or a cloud-storage mirror. Which data leaves, to which recipient, in which country and for what purpose is set out in the cross-border disclosure section of our Privacy Policy. We will not tell you your data never leaves Australia, because for those features it does and you would be able to prove it in a browser. What we can tell you is exactly which features, which recipients and which countries — each of them is set out, with its legal entity, at lodgehq.com.au/subprocessors.

Is my data secure? What are the actual controls?

Traffic runs over TLS with HSTS. The database is encrypted at rest under a customer-managed key, sits in a private subnet and has no public endpoint. Documents are held in a private encrypted S3 bucket in Sydney and served through presigned links valid for one hour. Passwords are hashed with PBKDF2-HMAC-SHA512 at 210,000 iterations and screened against known-breached passwords. A defined set of sensitive identifiers carries a further AES-256-GCM layer on top of that: transaction reference numbers and Department of Home Affairs file numbers on the matter record, passport numbers on family-member records, health and character reference numbers, and every stored integration token and two-factor secret. Stated plainly, because you would find it anyway: the primary applicant passport number, where it sits on the matter record itself, is not yet in that set — it is covered by encryption at rest and by access controls, and extending the application-layer set to it is a change we have not shipped. Two-factor authentication is available to everyone and a firm owner can make it mandatory firm-wide; it is off by default. Uploads are checked against their magic bytes rather than their extension and capped at 25 MB, and we do not scan them for malware. Is LodgeHQ independently certified for security?

Partly, and the distinction matters, so here is the honest split. LodgeHQ was independently assessed in July 2026 by TAC Security, a Google-authorised CASA lab, as part of Google verification of our restricted Gmail scopes. It returned no critical, high or medium-severity findings. LodgeHQ Pty Ltd holds SMB1001:2026 Level 3 (Gold), certificate 012630000052696192677Q, issued by CyberCert on 27 July 2026 and current until 28 July 2027. At Bronze, Silver and Gold that scheme certifies a director attestation against a published control set — the certificate is issued on that attestation, so it is not an independent audit. Our Outlook integration runs under a Microsoft-verified publisher, and the eLodge extension is publicly listed on the Chrome Web Store, so its permissions and privacy declaration are readable before you install it. LodgeHQ itself is not ISO 27001 or SOC 2 certified. Those certifications belong to Amazon Web Services, which hosts us, and we do not present them as ours. Everything above, with dates, certificate numbers and scope, is at lodgehq.com.au/security.

Who can see my clients data?

Inside your firm, your team — under the roles you set. Admins and the account owner see everything; other agents and staff see the matters assigned to them, matters they co-own, and unassigned matters, unless you switch on "sees all matters" for them. Every tenant-scoped read and write is filtered by the firm identifier of the caller in the query itself, so a request for another firm record returns not-found. We will be precise about what that is and is not: it is enforced by each route handler, not by a database-level rule that makes an unscoped query impossible. Route-level scoping was reviewed across the codebase during the July 2026 assessment and no unscoped access path was found. At our end, LodgeHQ is operated by its founder, Awais Nisar, a Registered Migration Agent (MARN 2318017). A platform-administrator account exists for running the service; inside the application it is still scoped to its own firm, so it is not a route into your matters through the app. Direct database access exists for support and incident work — the database has no public endpoint and is reachable only through an authenticated AWS session in our own account. We record sign-ins, administrative actions, document downloads, individual client-record views and data exports — each with the user, the action, the resource, the IP address and the user agent, and never the data values themselves.

Which third parties receive my data?

We publish the list rather than describing it in general terms. Always on, whatever you connect: Amazon Web Services (hosting, database, document storage and AI inference, in Sydney); Google, which relays every email the platform sends, including PDF attachments such as invoices and signed agreements; Stripe, for subscription and invoice card payments; Twilio, which carries the full text of any SMS or WhatsApp you send; Have I Been Pwned, which receives the first five characters of a password hash and nothing else; and your browser own push service if you turn on notifications. Only if you connect them: your own Gmail, Outlook or IMAP mailbox; your own Google, Outlook or Apple calendar; Dropbox, Google Drive, OneDrive, SharePoint or Zoho WorkDrive if you turn on document mirroring; Xero, MYOB or QuickBooks Online (Intuit, United States); eWAY; Bitrix24; and our social-post scheduler. NAATI translation passes the documents you send to our translation service and then to the certified translator. Each of these is set out, with the legal entity, the country, the data category and whether it is optional, at lodgehq.com.au/subprocessors.

Do you use my client files to train AI?

No. AI features run on Amazon Bedrock in Australia — the inference profiles in use resolve only to the Sydney (ap-southeast-2) and Melbourne (ap-southeast-4) regions. The model vendor is Anthropic (Claude). Under Bedrock, AWS operates the model deployment accounts: Anthropic does not receive your prompts, your documents or the model output, and the data is not used to train models. That is the position AWS publishes for Bedrock, and it is the basis on which we use it. What gets sent is the matter context a feature needs, and for document extraction the document itself — which is to say passports, grant letters and police clearances do go through the model. Every AI output in LodgeHQ is a draft for you to check and carries that disclaimer on screen: you are the registered migration agent, and the professional judgment, and the responsibility for the advice, stay yours. There is no firm-level switch that turns AI processing off.

What happens to my data if LodgeHQ stops trading?

Your data stays yours, and the protection does not depend on us being here. You can generate an export of everything in your account at any time, without asking us and without a support ticket — every matter, client, document, invoice and note, in open formats you can read and move. It keeps working even if your subscription lapses: a locked account can still request and download one. We would encourage you to take one periodically and keep it, the same way you would keep any other copy of your file records.

What are your backups and how long do you keep my data?

The production database has point-in-time recovery enabled with a 14-day window, and it is encrypted at rest under a customer-managed key. When an account ends, your data remains available for export for 30 days. After that it is deleted from our active systems, and the last remaining copy ages out of our Amazon Web Services infrastructure 90 days later — 120 days from closure in total. That 90 days is the longest of three expiry rules set on the infrastructure itself: point-in-time recovery on the database runs a 14-day window, database exports expire at 35 days, and superseded document versions expire at 90. No manual database snapshots exist outside those rules. If you want your data deleted sooner than that, email support@lodgehq.com.au from the address on the account and we will action it and confirm in writing.

Is it safe to connect my Gmail or Outlook mailbox?

Yes. The integrations are verified by Google and Microsoft, and LodgeHQ never sees or stores your email password — connections use secure OAuth, with tokens encrypted at rest. You can disconnect in one click, which also deletes any synced unfiled emails; emails filed to a matter stay on the file, in line with your record-keeping obligations.

Can I take my data with me if I ever leave?

Yes, at any time and without asking us. Settings → Data Export builds a ZIP containing your matters, clients, document records, invoices, trust records, communications, activity log, notes and settings as JSON for machine reading, the same data as CSV for spreadsheets, every uploaded document in its original file format, and a plain-English README explaining each file. The download link is valid for seven days and you can generate a new export whenever you like. There are no exit fees, and it keeps working after a subscription lapses — a locked account can still request and download one. What we cannot give you is a one-click import into another vendor system: that depends on what they accept. If you are winding up a file, take the export before you close the account — your own record-keeping obligations under the Code of Conduct continue after your subscription does.

How does the AI document extraction work?

Upload any document — passport scan, visa grant letter, skills assessment, English test result, or any PDF — into a client's file. LodgeHQ's AI reads the document, identifies relevant fields (names, dates, visa details, scores), and auto-populates them into the client record. It turns 15 minutes of data entry into a 10-second upload. We're not aware of another migration platform offering this (as at June 2026).

How does ImmiAccount auto-fill work?

Install the LodgeHQ eLodge extension from the Chrome Web Store (one click, auto-updates). When you open an ImmiAccount application form, click the LodgeHQ icon, pick the client, and hit 'Fill current page' — the fields we hold questionnaire data for populate straight away, including Form 80 character questions, 482 sponsor details, Student GTE prompts, and multi-record sub-forms for addresses, travel, employment, and family. Coverage varies by form and by how complete the client questionnaire is, and it never claims 100%: you review every field and lodge it yourself. The extension prefills; it does not submit.

Can my whole team use LodgeHQ?

Your $99/mo covers one registered migration agent. Add unlimited admin and support staff — clerks, assistants, paralegals — at no extra cost, each with their own login and role-based permissions so they see only what they need. Additional registered agents are $99/mo each.

Do clients need to install anything?

No. Clients access their portal via a secure link. They can upload documents, complete questionnaires, track their application status, sign documents, and message you — all from their browser on any device.

What visa subclasses does LodgeHQ support?

All of them. LodgeHQ is not locked to specific subclasses — 482, 500, 820/801, 189, 190, 491, 600, 407, 186, and every other visa type. Smart questionnaires adapt to the visa type automatically.

Can I customise my pipeline stages?

Absolutely. Create your own stages (e.g., 'Waiting on Health Check', 'DAMA Endorsement'), set colours, reorder them, and mark terminal stages. Your pipeline matches how you actually work.

Can I order NAATI translations through LodgeHQ?

Yes. Order NAATI-certified translations for 20+ language pairs directly from a client's matter. Translators bid on your job, you pick the best quote, and the completed translation attaches straight to the file. No more emailing PDFs back and forth.

How many AI features does LodgeHQ include, and what do they cost?

Four assistants: submission drafter, compliance checker, email drafter, and AI letter drafting — available from the AI assistant on any matter and the Letters workspace. All four are included in your subscription and are not billed per request or per token: assistant usage never appears on your invoice. A fair-use ceiling sits in the background so that runaway usage cannot affect service for everyone; if your firm ever reaches it, AI features pause and say so rather than billing you, and we will lift it on request. Three features are metered separately because they cost materially more to run: AI document extraction, prior-application import and previous-nomination import draw on prepaid AI credits. Every firm gets 5 free extractions each calendar month, shared across the three, and reading a client's ID or passport when you engage them is included in the plan and never metered. Past the free five, each successful extraction costs A$0.40 to A$1.00 depending on the size of the document or application, and an administrator buys credits in blocks of A$40, A$70, A$100 or A$200 plus GST, charged to the card on file at the moment they buy them. There is no auto-top-up and no automatic AI charge: with no credits the feature stops and tells you rather than billing you.

Can I automate repetitive tasks?

Yes — the workflow automation builder lets you create triggers that fire on status changes, approaching deadlines, new document uploads, or new submissions. Actions include creating tasks, sending notifications, updating stages, and sending emails. Set it once and your practice runs itself.

Does LodgeHQ generate DHA forms?

Yes. From any matter, generate pre-filled Department of Home Affairs PDFs — 37 of them, grouped the way you work: representation and correspondence (956, 956A, 1193), applicant particulars (80, 1221, 54, 47A, 1229, 1281, 1282), changes and requests (1022, 1023, 1436, 1446, 1447, 1424, 1194), bridging visas (1005, 1006, 1007, 1008), sponsorship and nomination (40, 40CH, 1149, 1000, 1257), the paper visa applications (47PA, 47CH, 47OF, 47SV, 918, 1002, 147) and citizenship (1300t, 1290, 1272, 1195) — plus the ART's MR5. Fields are populated from the questionnaire, the matter's contact details and your agent profile; anything the data can't answer for certain is left blank for you rather than guessed.
